Job Description: The Vice President of Operations is a proactive leader responsible for overseeing the operations of the Volunteer Properties (VP) portfolio. This role involves a thorough understanding of each community and the investors/owners we represent and managing all aspects of its performance throughout its lifecycle. Additionally, the VP of Operations will develop and manage investment planning with internal and external customers & clients, define investment strategies for VP and third-party clients, and oversee capital investments, revenue streams, and strategies to improve operational efficiency. Strong investment and real estate expertise are essential for creating plans that enhance total return and expand net asset value.The Vice President of Operations will collaborate across various VP departments and teams to maximize asset values and meet portfolio performance objectives. This position will report to the President of VP.Requirements – What you have achieved in your career:

Responsibilities – What you are great at:
- Consistently engage the Operations team to review and assess property operations and performance related to leasing and marketing, occupancy, budget management, personnel, facilities, risk management, capital improvements, and other materially relevant topics.
- Regularly visit and inspect communities to ensure proper curb appeal, leasing and maintenance operations, and the delivery of our brand promise to residents, team members, and the community at large.
- Provide oversight for asset preservation and revenue optimization, including physical evaluation of properties as indicated by property information reporting.
- Champion the implementation of resident retention programs; evaluate their efficiency and make needed improvement recommendations.
- Ensure compliance with all policies and procedures established by the VP.
- Ensure that all organizational policies, procedures, and practices follow professional and regulatory standards and further organizational success.
- Provide oversight of all transition-related initiatives, including continuously developing processes, tools, and best practices in collaboration with the various departments and teams when bringing communities onto the VP platform.
- Provide and anticipate backup positional and staffing support, including direct management of an assigned on-site asset on an interim basis, as the business needs warrant.
- Oversee all major planning and execution initiatives necessary to deliver best-in-class service and performance to portfolio communities.
- Supervise the preparation of annual operating and capital budgets, marketing plans, and business plans for all communities under direct management; monitor monthly and quarterly financial performance; and ensure accurate and timely reporting.
- Create, implement, and revise detailed sales, leasing, and operational plans, strategies, programs, and processes that lead initiatives to achieve occupancy and revenue goals.
Strategic Planning:
- Support the third-party Asset and Ownership teams in creating and administering the annual operating budgets and associated business plans.
- On a quarterly basis, provide a synopsis of the portfolio’s performance to stated operating metrics and relevant data points, completed initiatives, results of related initiatives vs. desired impact, and recommendations for ongoing improvements for each performance metric and operating team initiative.
- Prepare and present performance goals and roadmaps quarterly, prioritizing time/cost savings, competitive advantage, performance improvement, and/or ancillary income opportunities the company should consider pursuing.
- Responsible for monitoring and implementing VP’s quality control, brand standards, and safety standards.
- Ensure the continued development, deployment, and maintenance of operations tools, strategies, strategy documents, workflows, SOPs, training deliverables, and other operational materials.
- Lead the development of performance, compliance, risk, and other quantitative and qualitative measures reporting.
- Maintain and optimize existing operational reporting standards and develop reporting and comparative measurement mechanisms for VP.
- Develop, maintain, and regularly update benchmarking guidance for the Operations teams and company leadership on items including categorical expenses, revenue strategies, and market absorption and velocity.
- Approach challenges with a strategic and solution-oriented mindset, viewing obstacles as opportunities for innovation and proactively developing effective resolutions.
Leadership & Development:
- Develop strong working relationships with internal constituents and counterparts to effectuate efficient and productive collaboration and improve business processes and portfolio performance.
- Collaborate and communicate with other internal VP departments, including the HR team, Accounting, Finance, Construction, and IT/Marketing teams.
- Provide direction and mentorship to team members to ensure their successful onboarding and ongoing personal development throughout their professional journey at VP.
- Motivate the team through positive recognition and strong leadership, emphasizing the company’s Culture of excellence.
- Perform essential management functions such as hiring, training, coaching, succession management, performance management, career development, and disciplinary counseling.
- Always represent VP in a professional manner. Consistently maintain a professional, courteous attitude when dealing with residents, coworkers, investors & owners.
- Take part in due diligence efforts on new acquisitions, directly overseeing areas focused on operations.
- Represent VP at conferences, seminars, industry publications, forums, and podcasts as a brand ambassador and industry expert.
- Provide oversight of all transitions and related initiatives, including continuously developing processes, tools, and best practices in collaboration with third-party acquisition teams and ownership groups. This applies to onboarding and offboarding communities and asset refinancing as needed.
