Job Description: The Clinical Research Systems Administrator is a pivotal role responsible for overseeing clinical research systems across Montefiore Medical Center and Einstein research operations. This role ensures compliance with critical regulatory standards, including those set forth by the Food and Drug Administration (FDA) under 21 CFR Part 11, the Office for Human Research Protections (OHRP), Good Clinical Practice (GCP) guidelines, and Internal Revenue Service (IRS) reporting requirements for participant payments. Responsibilities include managing system operations and vendor relationships, creating electronic regulatory binders, managing participant reimbursements, and securing necessary approvals (IRB, budget, and contract) before study activation. The Administrator verifies billing criteria for the EMR and issues final approval in the Clinical Research Management System (CRMS). Additionally, the role includes departmental tasks such as overseeing the main office inbox and telephone line, ordering supplies, tracking payment requests, and addressing office-related issues. This position is vital for maintaining smooth operations and regulatory compliance in clinical research activities, supporting both Montefiore and Einstein research initiatives.EDUCATION, TRAINING, LICENSES, REGISTRATIONS, PROFESSIONAL CERTIFICATIONS, AND WORK EXPERIENCE

  • High School Diploma or equivilent reqired
  • Bachelors Degree preferred
  • 2 years of work xperiece required
  • In-depth understanding of clinical research protocols, including FDA regulations (21 CFR Part 11), OHRP guidelines, and Good Clinical Practice (GCP).
  • Knowledge of IRB processes and requirements, including ethical considerations and patient consent.
  • Familiarity with IRS reporting requirements for participant payments and financial documentation.
  • Expertise in managing and utilizing clinical research and electronic regulatory systems.
  • Proven ability to troubleshoot, resolve technical issues, and enhance system performance.
  • Skilled in data tracking, analysis, and reporting to monitor system performance and user engagement.
  • Competence in developing and maintaining accurate metrics and reports for leadership.
  • Proficient in project management principles, including planning, execution, and monitoring of clinical research projects.
  • Strong verbal and written communication skills to effectively communicate with internal teams, vendors, and stakeholders.
  • Strong organizational skills for overseeing system administration, office management, and task coordination.
  • Experience in managing office supplies, inter-departmental coordination, and internal communications.
  • Knowledgeable in vendor management, including negotiation, payment processing, and financial reconciliation.
  • Ability to handle financial transactions, track budgets, and ensure accurate billing and reimbursement.
  • Experience in developing and conducting training sessions, creating SOPs, and disseminating information.
  • Strong problem-solving skills to identify, analyze, and resolve issues related to clinical research systems and processes.
  • Understanding of quality assurance processes and best practices for maintaining compliance with institutional policies and regulatory standards.
