This Office of Corporate Public Affairs represents the entire DHL Group in the Americas Region, from Canada to Chile covering policy engagement and strategic advice to the four divisions of DHL Express, Global Forwarding & Freight, Supply Chain, and eCommerce as well as the Group functions globally.The ideal candidate will bring a highly collaborative and supportive attitude to the Corporate Public Affairs team in three categories of work: Administrative Support, Event Management, and Policy Tracking & Engagement. This is an in-person position located in Washington, DC, and the candidate must be legally able to work in the United States.Your tasks:Administrative Support
- Provide primary oversight and management of the physical office facilities, including engagement with the building management, outside contractors, and DHL functions.
- Support office budget planning and manage implementation of that plan, including payments, invoicing, and accounts payable and overall office operations.
- Coordinate Americas Office contributions to virtual platforms, including the CD07 Smart Connect internal page and other internal company channels.
- Oversee the design, marketing, promotion, delivery and quality of internal and external fact sheets, one pagers and other informational materials.
- Coordinate and enhance presentations for executive briefings, cross business unit policy briefings, external stakeholder meetings, etc.
- Identify and solves problems, working within the management team to select and implement optimum solutions, including assessing of inquiries directed to the team.
- Provide proactive project management support to establish and manage project schedules for Americas Corporate Public Affairs team, including strategic initiatives and staffing needs.
Event Management
- Coordinate and support implementation of meetings, conferences, employee engagement events and other similar events, ranging from individual executive visits to oversight of the 200+ person externally facing policy conference – The DHL Forum.
- Initiate the process of venue selection, external contractor identification/negotiation, speaker engagement, and program development for externally facing events.
- Lead management of day-of logistics for events with all levels of internal management and staff, as well as outside stakeholders, customers, and vendors.
- Engage internal DHL teams for development of webinars and other virtual programs.
- Oversee on-the-ground logistics for senior executive fly-ins, including coordination with global executive support staff.
Policy Tracking & Engagement
- Provide high-level policy trend updates with impact on the Group, including identification of meaningful studies, reports, and news updates.
- Engage and track trends in specific policy areas with particular focus on artificial intelligence and related emerging technology and cybersecurity developments.
- Coordinate with Corporate Public Affairs offices in China and Europe to identify overlapping policy risks for engagement in the Americas region.
- Oversee and update the overall office strategic plan, coordinating with global headquarters staff on goals and objectives, taking into consideration emerging policy trends.
- Play a lead role in providing strategic leadership for ongoing process improvement and organizational development.
Your profile:
- Minimum of 5 years of work experience, ideally overseeing projects, processes, event management, strategic initiatives, office operations, and staffing needs.
- Proven record of managing detailed projects within a large and complex organization.
- Bachelor’s degree in political science, communications, business administration or a similar field required; master’s degree preferred.
