Job Description: Position Summary:The Administrative Assistant performs a wide range of tasks to provide operational support for the designated office location.Essential Duties & Responsibilities:· Provide overall operational support for the administrative needs of the firm’s designated office.· Act as key point of contact for the designated office, including receiving visitors and answering/directing phone calls and receiving and directing incoming mail, packages and faxes.· Maintain daily mail log.· Fulfill marketing orders and notifies the Director of the Marketing regarding inventory of marketing materials.· Provide coverage and maintain the break room which includes, stocking, cleaning, and minor coffee and filtered water machine maintenance.· Respond to a variety of emails and customer service requests submitted by internal staff.· Receive incoming mail and packages from USPS, FedEx, and UPS and direct to appropriate addressees, as well as prepare outgoing shipments for FedEx and UPS· Manage storage file requests.· Set up conference room meetings including conference calls and web casting setups.· Responsible for file scanning and organizing marketing invoices, shipping request form, and any other items as needed.· Research and evaluate venue options; plan, coordinate, and oversee the execution of office-wide events.· Assist with other various administrative duties and projects as assigned by the Office ManagerKnowledge, Skills, Abilities:· Excellent verbal and written communication skills.· Ability to effectively develop rapport with all levels of staff.· Strong customer service orientation.· Solid organizational and follow-through skills, performing work accurately with strong attention to detail.· Strong computer skills, including solid skill in the Microsoft Office suite.· Able to file quickly and accurately.· Ability to meet deadlines and effectively prioritize a fast-paced and varied workload, effectively manage a variety of concurrent and shifting priorities.Minimum Qualifications:High school diploma plus 1-2 years of administrative experience and/or appropriate balance of education and work experience.Preferred Qualifications:Associate’s degree and prior experience working in a professional services firm.Why work with us?Our firm is committed to providing our people with opportunities to excel professionally.   • Compensation: $46,000 – $50,000 depending on experience. More is possible if experience dictates.
